Retail Accountants
Accountancy Made Simple from only £89/month
Stock at two different VAT rates going through the same till, takings that need recording daily, and staff costs that move with the seasons. Caroola gives retailers a dedicated accountant who understands how a shop actually runs, on a fixed monthly fee.
Retail is one of the few businesses where working out how much VAT you owe is a genuine calculation rather than a straight sum.

You’ll get your own dedicated accountant, not a shared inbox or a rotating support team.

Who are these services for?
At Caroola, we work with retailers of every structure; sole traders, limited companies and partnerships, whatever you sell.
That covers independent shops, convenience stores and newsagents, clothing and homeware retailers, garden centres, pharmacies, market traders and multi-site operators. Whether you run one shop or several, we can help.

What Makes Retail Accounting Different?
Most businesses issue an invoice for every sale and know exactly what VAT sits on each one. A shop takes hundreds of small payments a day, some on goods that carry VAT and some on goods that don’t, and nobody is writing an invoice for a pint of milk. That’s why HMRC has a separate set of rules just for retailers.
Choose the wrong VAT scheme and you can overpay for years without ever knowing.
- VAT retail schemes: Use one of the standard retail schemes to work out what's owed, and which one suits.
- Mixed-rate stock: food, children's clothing and books sit at different rates to most other goods.
- Daily gross takings: retail schemes are built on a daily record of takings, and that record is the first thing an inspection asks to see.
- Stock valuation: slow-moving and damaged lines shouldn't be sitting in your accounts at full price.
- Seasonal staffing: part-time and temporary staff bring minimum wage bands, payroll reporting has to be correct.
- Fixed monthly fees: One price, agreed upfront, that won't creep up as your takings grow.
- Your own accountant: Work with one dedicated accountant who understands retail, not just service businesses.
- Built for stock businesses: Advice that accounts for what's on your shelves, not just what's in your bank.
- No hidden costs: Clear pricing, whatever you sell.
- Grows with your shop: From a single unit to several sites, your package adapts.

FAQs
- Do I Need a VAT Retail Scheme?
Only if you can’t account for VAT in the normal way and you sell goods at more than one rate. If everything you sell carries the same rate, standard VAT accounting is simpler and a scheme adds nothing. If you sell a mix, and you’re not issuing an invoice for every transaction, a retail scheme is how HMRC expects you to work out the VAT.
- Which Retail Scheme Should I Use?
There are three standard ones and the right choice depends on your till, your stock mix and your turnover. Point of sale works where your system can identify the VAT rate on each item as it’s rung through, and it’s the most accurate. Apportionment works from what you’ve bought rather than what you’ve sold. Direct calculation suits shops where the large majority of sales sit at one rate and a small minority at another. Above a certain turnover the standard schemes stop being available and a bespoke method has to be agreed with HMRC. We’ll look at your figures and recommend one.
- Can I Change Schemes If I Picked the Wrong One?
Usually at the end of a scheme year, and there are limited circumstances where a change can be backdated. It’s worth reviewing whenever your stock mix shifts, because a scheme that suited you when you opened may be costing you money now. This is one of the more common places we find money for retail clients.
- What Do I Need to Get Right on Payroll?
The minimum wage bands are the main one, since they vary by age and change each April, and it’s easy to miss a birthday that moves someone up a band. Holiday entitlement for staff on irregular hours also needs calculating rather than estimating. Both are areas HMRC actively checks in retail, so they’re worth getting right rather than getting caught on.
- Can I Switch to Caroola Part-Way Through the Year?
Yes. No need to wait for year end. We manage the handover with your current provider.
